Birthday Party & BBQ Planning Checklist
Planning a birthday party, graduation party, BBQ, or fun social event?
Use this helpful checklist to stay organized, be prepared and take some stress out of the planning.
4 Weeks Ahead of the Party
- Figure out your budget.
- Pick the theme for your party.
- Set the date.
- Decide whether you are throwing the party at or away from home.
- Reserve the venue (if needed).
- Make your guest list.
- Send the invitations. (Evite)
- Order any special materials (if needed, like personalized signage, pictures, etc.).
3 Weeks Ahead of the Party
- Decide whether you will be cooking for the event.
- Book a caterer (if needed).
- Set the menu.
- Book the entertainment (if applicable).
- Book any extra help (if needed, like servers, bartender, security, etc.).
- Reserve any equipment you may need (like chairs, tables, inflatables, tents, etc.).
2 Weeks Ahead of the Party
- Follow up on unanswered invitations.
- Gather, make and/or buy the decorations.
- Practice cooking the dishes you will serve (if applicable, as a trial run).
1 Week Ahead of the Party
- Clean your home or visit the venue (to check for audiovisual capabilities and/or electrical outlets).
- Buy the food and/or beverages (if applicable).
- Start preparing any dishes that can be made ahead of time (if applicable).
- Confirm your bookings and reservations (to make sure everything is still on track for your party).
- Send reminder email to your guests.
- Get space heaters, bug candles, fans, etc. as needed.
3 Days to 1 Day Before the Party
- Give your home a once over (if applicable).
- Continue cooking (if applicable).
- Decorate for the party.
- Prepare the gift bags (if applicable).
- Check your medicine cabinets (if the party’s at home so you can remove any sensitive items).
On Party Day
- Finish any last-minute cooking (if applicable).
- Add any final decorations.
- Set up chairs, tables and other equipment.
- Get beverages in ice.
- Welcome your guests and enjoy the party!
